AI for Irish Manufacturers: Five Workflows Worth Automating First

The short answer: for most Irish manufacturing SMEs, the fastest AI wins are not on the factory floor. They are in the office: quotations, order entry, invoice and docket matching, order-status queries, and compliance paperwork. These five workflows are document-heavy, repetitive, and measured in hours per week, which makes them ideal first projects. Start with the one that annoys your best people most.

I have spent a good part of the last fifteen years working with Irish manufacturers and fabricators, from a leading window manufacturer to a steel fabricator and a 130-staff insulation distribution group. The pattern is remarkably consistent: the production side is usually well run and heavily invested in, while the office around it runs on email, spreadsheets, re-keying and memory. That office is where AI pays back first, because the work is made of documents and decisions that follow rules, and because you can improve it without touching the line.

Here are the five workflows I would look at first in almost any Irish manufacturing business, what each looks like redesigned, and the number to measure so you know whether it worked.

1. Why start with quotations and estimating?

In most manufacturers, a quote starts as an email: a drawing, a spec, a bill of materials, sometimes a photo of a sketch. Someone senior reads it, interprets it, checks prices, builds the estimate and writes the quote. It is skilled work stuck inside a slow process, and every day of delay is a day your competitor might answer first. Slow quoting is one of the most expensive problems in manufacturing precisely because it never appears as a cost line.

Redesigned, AI does the reading and drafting: it extracts the specification from the enquiry, checks it against your product range and pricing rules, flags what is unclear, and produces a draft quote for a human to review and send. Your estimator's judgement stays in the loop; the hours of assembly work do not.

Measure: enquiry-to-quote time, and quotes issued per week per estimator.

2. What does AI-assisted order entry look like?

Orders arrive by email and PDF, and someone types them into the system: customer details, line items, delivery addresses, again and again. Re-keying is not just slow, it is where errors are born, and an error keyed at order entry surfaces weeks later as a wrong delivery or a credit note.

The redesigned version has AI read the incoming order, extract every field, validate it against your customer records and product codes, and stage it in your system for one-click confirmation. Anything ambiguous gets flagged to a person rather than guessed. The job changes from typing to checking.

Measure: minutes per order, and order errors per hundred orders.

3. Can AI match invoices to delivery dockets?

The three-way match, purchase order to delivery docket to supplier invoice, is the classic accounts-office grind. In manufacturing it is worse than in most sectors because the dockets are often paper, signed in a van or a yard, and the quantities on them do not always agree with the invoice that follows.

AI handles this well: it reads scans and photos of dockets, including messy ones, extracts the quantities, matches them against the PO and the invoice, passes the clean ones through, and queues only the exceptions for a human. Instead of processing everything, your accounts person handles the ten percent that genuinely needs judgement.

Measure: hours per week on invoice processing, and days from invoice receipt to approval.

4. How do we stop answering "where is my order?" all day?

Every manufacturer has someone, often several people, whose day is punctured constantly by status queries: where is my order, when will it ship, has it left. Each answer requires looking something up that the customer could in principle see themselves. It is death by a thousand interruptions, and it usually lands on your most knowledgeable staff.

The redesign gives customers and colleagues an AI assistant that reads live order and dispatch data and answers those questions directly, by email or on your website, with escalation to a person when the question is genuinely complicated. Your team keeps the conversations that need them and loses the ones that do not.

Measure: status queries handled without human involvement, and interruptions per day for key staff.

5. Can AI handle compliance and certification paperwork?

Declarations of performance, CE marking documentation, material certs, safety data sheets, warranty documents: construction-adjacent manufacturing in particular runs on paperwork that must be assembled correctly for every job and produced on demand years later. It is unglamorous, essential, and almost entirely rule-following, which is exactly the profile of work AI does well.

Measure: time to assemble a job's document pack, and time to retrieve documents on request.

What about the factory floor?

Machine vision, predictive maintenance and production optimisation are real, but they are capital projects with longer timelines and higher risk, and they deserve their own business case. The honest advice for an SME is to build confidence and capability on office workflows first. The wins arrive in weeks, nothing on the line is at risk, and the team learns to work with AI before you point it at production.

Do we need new systems for any of this?

No, and this surprises people. AI workflow tools sit as a layer on top of what you already run: they read from email, spreadsheets, accounts packages and most ERPs, and write results back. Paper is not a blocker either, since modern AI reads scans and photos of dockets and job sheets reliably. Replacing core systems is a different, much larger conversation, and it is almost never the right first step.

Where should we start?

Pick one workflow, not five. The right one is usually whichever eats the most hours of your most capable people, and in our experience that points to quoting or invoice matching more often than anything else. Measure how it runs today before changing anything, because the before-and-after number is what tells you whether the project worked and what makes the case for the next one.
